A Customer Newsletter Published by PROFORMANCE | Summer 2006

PROFORMANCE was recognized by Hyland Software earlier this year at the Team OnBase Conference as a Diamond Partner Award Winner. Criteria to be awarded Diamond level partnership include:

  • retention of more than 95% of customers on maintenance
  • providing direct support to more than 20 installed solutions
  • maintaining a minimum of two certified OnBase installers over the previous 12 months
  • significant participation in the OnBase Developer Conference and the annual Team OnBase Conference

PROFORMANCE is again one of our most valued resellers, as they have been for several years,” says Bill Priemer, Hyland’s chief operating officer. “Our top partners take the time to understand the real needs of a user’s business before they propose a solution. PROFORMANCE exemplifies these values, and the proof is in their multiple, satisfied customers. PROFORMANCE knows the value they can bring to users and have made the effort to dedicate resources and people to the continued sales, implementation and maintenance of OnBase solutions.”

The Authorized OnBase Solution Provider Program is comprised of companies that have proven capabilities in analyzing, designing and implementing customer-centric, ECM solutions. These partners are the leaders in the community of OnBase Professionals.

To support the proper selling, installation and training of OnBase solutions, Hyland Software instituted Team OnBase. Team OnBase is comprised of consulting firms, hardware and software vendors, systems integrators and value-added resellers collaborating to consistently deliver streamlined work processes, improved business decisions and increased customer satisfaction.

“This program is designed to ensure that our users receive the full resources and expertise of each Team OnBase member,” says Priemer. “In this way we can provide our customers the highest level of support and services they both expect and deserve. And, like all true partnerships, the program is based upon a mutual commitment to certain goals and responsibilities. PROFORMANCE, with its commitment to ECM and superior customer service, embodies the program perfectly.”

“The Diamond Support Award reflects our commitment to providing exceptional support and comprehensive services”, comments Wayne Whaley, President and CEO of PROFORMANCE. “We continue to invest in resources and experienced, highly skilled employees to better serve our customer’s needs,” Whaley adds.

Sarbanes-Oxley and other compliance mandates are making it increasingly important for financial institutions to automate document tracking procedures. To find the right solution, PROFORMANCE facilitates the process by engaging organizations in a consulting capacity to ensure our solutions, including INFO-ACCESS, pave the way to streamlining compliance and productivity related issues.

Consulting: Experienced, In-Depth Support Can Be Invaluable
Many of you are feeling pressure to implement technologies that will ease compliance concerns brought on by a growing pool of regulatory mandates. Making these types of critical business decisions, particularly on an enterprise level, without proper support can be a daunting task. While most organizations are certainly capable of conducting a business process audit on their own, it is often times advantageous to have the objective input of a qualified vendor.

PROFORMANCE has assisted numerous organizations by conducting an in-depth analysis of current document processing and information sharing practices. Our business analysts conduct discovery interviews with key personnel to assess requirements, as well as document flow, routing and processing practices to the fullest extent to ensure the appropriate imaging strategy is put in play. In addition, proper document grouping and naming conventions are determined to enable rapid retrieval of information. These steps become vitally important to institutions looking to integrate a loan automation solution in the future. By employing disciplined imaging and indexing practices today, loan automation implementation is greatly facilitated.

PROFORMANCE has extensive experience implementing document imaging systems for financial institutions. While there are many vendors selling product oriented scanning and imaging technologies, our methodology enables organizations to take a pragmatic, best practices approach to implementing a strategic, enterprise-wide document imaging solution. Three key areas to consider and address relate to document indexing and retrieval, including:

Document Type Group and Document Type Naming
To provide structure within the system, each document stored in OnBase must be assigned a document type, a document type group and an auto-name. Careful consideration must be given the granularity of cataloging the document types and groups.

Assigning Keywords
A scanned document is stored as an imaged file. To locate a document stored in OnBase, it is essential to assign keywords to ensure users are able to properly retrieve imaged documents. During a search, documents may be located using one or more keywords.

Indexing
One of the most important phases of document imaging, after determining document types and keywords, is to determine the process of how documents are identified and keywords are assigned. To be effective, keywords must contain information about a specific document, such as customer name, account number, etc. The process of assigning these keywords is known as indexing.

There are many other issues to address, including process flow, scanner selection and security to name a few. For a copy of our Best Practices Summary, please contact our sales department.

OnBase 5.0 has been released and is available for installation and production.
