While there are many vendors selling product oriented scanning and
imaging technologies, our methodology enables organizations to take
a pragmatic, best practices approach to implementing a strategic,
enterprise-wide document imaging solution. Three key areas to consider
and address relate to document indexing and retrieval, including:
Document Type Group and Document Type Naming
To provide structure within the system, each document stored in
OnBase must be assigned a document type, a document type group and
an auto-name. Careful consideration must be given the granularity
of cataloging the document types and groups.
Assigning Keywords
A scanned document is stored as an imaged file. To locate a document
stored in OnBase, it is essential to assign keywords to ensure users
are able to properly retrieve imaged documents. During a search,
documents may be located using one or more keywords.
Indexing
One of the most important phases of document imaging, after determining
document types and keywords, is to determine the process of how
documents are identified and keywords are assigned. To be effective,
keywords must contain information about a specific document, such
as customer name, account number, etc. The process of assigning
these keywords is known as indexing.

OnBase 5.0 Now Available
OnBase 5.0 has been released and is available for installation
and production. While there is no charge for the OnBase 5.0 upgrade
for customers with current support agreements, there may be costs
if your institution requires the purchase and installation of new
hardware, server software (operating systems, database software,
backup software) or additional OnBase modules. If you have any questions
