Core OnBase Modules

OnBase's architecture is logically developed around a single software application that utilizes one common SQL database. Modular in design and functionality, OnBase is not a "toolkit", but rather an integrated suite of software modules that allows the customer to deploy only the functionality that addresses their current needs, while providing a solid foundation for continuous growth and future enhancements.

OnBase Client

The OnBase Client is the single point of user interaction with the OnBase system. All user activity for controlling every stage in the lifecycle of an OnBase document, from capture and storage to retrieval and distribution is performed from this single interface. Retrieving documents is fast and efficient through several parameterized search methods, including Document Retrieval Dialog Box, Foldering, Custom Query, Text Search, Workflow Inbox and OnBase’s award-winning Cross-Referencing. The Client is the central location to import, organize, secure, retrieve, enhance and distribute all of your data.

COLD

OnBase COLD (Computer Output to Laser Disk) is the ideal solution for managing the storage of reports, statements, invoices or virtually any document that originates as host-generated data. This application eliminates the need to store and distribute computer-generated reports on paper, microfilm, or microfiche. Reports and statements that are output from computer systems as printed, COM, or text are automatically identified, compressed, and indexed - ready for instant retrieval and distribution. OnBase Advanced COLD, a high-performance version of OnBase COLD, employs multi-threaded processing to accommodate large volumes of files. COLD, also referred to as Enterprise Report Management (ERM), invariably results in faster storage and retrieval of information and significant cost savings over paper and micrographic equipment and supplies.

Document Imaging

OnBase Document Imaging enables paper documents to be captured and stored in electronic format. The conversion of paper documents into digital images eliminates storage costs, minimizes geographical and physical boundaries, and improves the limitations of paper-based processing. Document Imaging enables documents to be electronically utilized and shared, resulting in faster retrieval of information. Documents may be scanned with any TWAIN or Kofax™ compliant scanner. Once documents are scanned, they are indexed and archived in OnBase. Indexing may be automated through the use of bar coding, OCR technology and the OnBase Auto-Fill Keyword feature. Archived documents are easily accessible from the OnBase Client for retrieval, viewing and distribution.

Web Server

The OnBase Web Server provides users with secure, Web-based access to enterprise data, documents and real-time interactions with business processes from anywhere and at anytime. The OnBase Web Server can improve the ways that organizations do business with public customers, extranet partners and remote employees.  Microsoft® Internet Explorer Web browsers function as secure Internet or intranet clients that connect to a centrally managed OnBase Web Server. For compliance and process management purposes, a secure audit trail is maintained of user activity.  The OnBase Web Server also can serve as an integration platform for distributed, HTTP-based, enterprise applications. Documents, objects and workflow process data can be rendered on demand in many standard compatible file formats such as PDF, JPG, PNG, TIF, text, or XML. . The OnBase Web Server provides a cost-effective alternative to deploying desktop client software through the enterprise.

Workflow

OnBase Workflow is an electronic document routing system that enables users to process work more efficiently, faster, and more accurately than with traditional paper processing. OnBase Workflow is beneficial whenever successive points of input or action are required in order to complete a task, process, or procedure.  A SQL database drives the routing of documents, forms and other types of work to users in a customer defined process to streamline collaboration and accelerate the completion of critical business tasks.  OnBase Workflow also supports such advanced features as alternate routing logic, automatic criteria calculation, rendezvous, simultaneous notification, load balancing, reporting, ad hoc workflow, VB scripting, work auditing and API functionality for integration with core legacy or ERP/CRM systems. When integrated with OnBase Web Server, the benefits of OnBase Workflow can be made available via the Internet to users throughout your company, regardless of their location.
